Global School Swimming Series (GSSS)

Please read these Terms and Conditions ("Terms") carefully before registering for or participating in the Global School Swimming Series ("GSSS"), operated by AP Race and TEEMS Global ("the Organisers", "we", "us", or "our").

By accessing, registering for, or participating in GSSS, you agree to be bound by these Terms and Conditions.

1. Acceptance of Terms

By using the GSSS website, registering a school, team, athlete, or participant, or attending any GSSS event, you acknowledge that you have read, understood, and agree to comply with these Terms and Conditions. 

 

If you do not agree to these Terms, you must not use the Service or participate in any GSSS event.
 

2. Eligibility

Registration must be completed by an authorised representative of a school, club, academy, or recognised swimming organisation. Athletes must satisfy the eligibility criteria, age requirements, and selection policies published by GSSS for the relevant qualification event and competition category. The Organisers reserve the right to request documentation to verify eligibility at any time.
 

3. Event Registration and Bookings

All registrations, entries, and event bookings are subject to review, acceptance, and confirmation by the Organisers. Submission of a registration form or entry request does not guarantee acceptance into the competition.

The Organisers reserve the right to:

• Refuse or cancel registrations;

• Limit event entries;

• Amend competition formats;

• Modify qualification criteria;

• Change venues, dates, schedules, or event programmes where necessary.
   

All event information published is subject to change without prior notice.
 

4. Fees, Payments and Refunds

All registration fees, event fees, accommodation packages, and associated costs must be paid in accordance with the payment schedule communicated during registration. Payments must be made through approved payment methods available on the GSSS website.

Unless otherwise stated:

• Registration fees are non-refundable;

• Refunds will only be considered where an event is cancelled by the Organisers;

• No refunds will be provided for withdrawal, non-attendance, travel disruption, visa refusal, injury, illness, or any circumstance beyond the Organisers' control.

 

Specific cancellation policies applicable to individual events may be published separately and shall form part of these Terms.

5. Athlete Selection and Qualification

Participation in a qualification event does not guarantee selection for a national representative team or the GSSS Grand Final. Selection decisions shall be made in accordance with the published Athlete Selection Policy and any applicable event regulations. All selection decisions made by the Organisers are final.

6. Participant Conduct

All participants, athletes, coaches, parents, officials, team staff, and spectators are expected to conduct themselves in a respectful, professional, and sportsmanlike manner. The Organisers reserve the right to remove, suspend, or disqualify any individual or organisation whose behaviour:

• Compromises Safety or Welfare;

• Violates Competition Rules;

• Abusive, Discriminatory, Threatening, or Inappropriate;

• Brings GSSS, AP Race, TEEMS Global, or Event Partners into Disrepute.

7. Health and Safety

Participation in competitive sport involves inherent risks. By participating in GSSS, participants acknowledge and accept these risks. Schools, clubs, parents, and guardians are responsible for ensuring athletes are medically fit to compete and have obtained appropriate medical advice where necessary. The Organisers reserve the right to refuse participation where safety concerns exist.

8. Travel and Accommodation

Participants are responsible for arranging and funding their own travel, accommodation, visas, passports, insurance, and related expenses unless otherwise stated. The Organisers accept no liability for travel delays, cancellations, visa refusals, or costs incurred as a result.

9. Media, Photography and Broadcasting

By participating in GSSS, participants acknowledge and agree that photographs, video recordings, live streams, interviews, and other media content may be captured during events.

The Organisers may use such content for:

• Event Promotion;

• Marketing and Advertising;

• Social Media;

• Website Content;

• Press and Media Coverage;

• Future Event Communications.
   

No compensation shall be payable for such use.

10. Intellectual Property

All trademarks, logos, branding, content, publications, event materials, broadcasts, videos, photographs, and intellectual property associated with GSSS remain the property of AP Race, TEEMS Global, or their respective licensors. No content may be reproduced, distributed, modified, or used without prior written consent.
 

11. Prohibited Activities

Users may not:

• Violate applicable laws or regulations;

• Attempt unauthorised access to systems or data;

• Disrupt or interfere with the operation of the Service;

• Upload malicious software or harmful content;

• Engage in fraudulent activity;

• Misrepresent identity or eligibility.

 

Any violation may result in removal from the Service or competition.

 

12. Limitation of Liability

To the maximum extent permitted by law, AP Race, TEEMS Global, event hosts, sponsors, partners, employees, contractors, volunteers, and representatives shall not be liable for any indirect, incidental, consequential, special, or punitive damages, including loss of profits, data, goodwill, opportunity, or participation arising from:

• Use of Service;

• Participation in GSSS Events;

• Event Cancellation or Modification;

• Travel Disruption;

• Technical Issues or System Failures

13. Indemnification

You agree to indemnify and hold harmless AP Race, TEEMS Global, their directors, officers, employees, partners, affiliates, agents, contractors, and representatives from any claims, liabilities, damages, losses, costs, or expenses arising from:

• Your Breach of Terms;

• Your Participation in GSSS;

• Violation of any Applicable Law or Regulation;

• Infringement of Third-Party Rights

14. Privacy and Data Protection

Personal information collected through registration and participation will be processed in accordance with the GSSS Privacy Policy. By registering, participants consent to the collection, storage, processing, and use of personal information for event administration, safeguarding, communications, competition management, and related purposes.

15. Governing Law

These Terms shall be governed and interpreted in accordance with the laws of England and Wales. Any disputes arising in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales unless otherwise required by applicable local law.

16. Amendments

The Organisers reserve the right to amend these Terms at any time. Where significant changes are made, reasonable notice will be provided through the official GSSS website or registered communication channels. Continued use of the Service following any amendments constitutes acceptance of the revised Terms.
